HR Highlights

Three payrolls were conducted in the new system and a fourth has begun.  Work to refine certain activities or items continue. These items include, time and labor approvals, email notifications, check register, commitment accounting processing, transactional forms, and job/position records.

Workforce Administration

Processed significant additional transactions this month due to refinements to time approver designations and position funding changes. 

Enhanced PAF/PCF/Title Form changing fonts, spacing and page breaks.

Worked with Tech Team to identify duplicate HR Emplids created for individuals with student Emplids.

Payroll/Time and Labor/Commitment Accounting

Trained COM on incentive payment request process.

Created queries for QA to ensure employees are not overpaid, underpaid or payments are not duplicated between on-line checks and off-cycle.

Redesigned check register for better balancing capabilities.

Generated emergency changes for the State of Arizona on state warrant format.

Refined the automatic email process to reduce the number of emails to campus and make them more meaningful.

Benefits Administration/Employee Self Service

Deducted more than 59,000 employee and more than 100,000 employer benefit premiums with very low error rate for each of the October pay dates.

147 benefit enrollments completed through Employee Self Service (hires, gained ORP eligibility, and qualified life events).

Conducted critical daily report training for benefits administration team.

Began flexible spending account open enrollment testing.

Technical

Developed and implemented migration process into production for new and existing modifications.

Worked on fixing inbound and outbound interfaces.

Worked on Control M scheduling of all inbound and outbound interfaces.

Develop search function for System Control to properly set Emplid for students.

Worked with SA group on integration issues.

 

HR Plans

There are a number of items that the HR team will be working on prior to the official start of Phase II related to Payroll, Time and Labor, Commitment accounting Benefits Administration and Employee Self Service.  We will continue our support of the central administration functions, but will begin focusing on these tasks.

Workforce Administration

Add retiree and deceased  records prior to 1999,

Person of Interest (POI) record cleanup.

Add degree Information.

Payroll, Time and Labor, Commitment Accounting

Establish a plan for the Year End W-2 Process including printing of documents and campaign for no print of W-2.

Evaluate multi state reporting and determine how to outsource.

Improve the access of approvers to pull up employees within manager self service.

Revise the A-4 form to work like W-4 per customer's request.

Continue to trouble shoot and improve Time and Labor.

Roll out web clock to Campus Rec., Salt Center, UITS Oscar Labs and 24/7.

Benefits Administration, Employee Self Service

Resume testing re: special premium processing for academics.

Technical Team

Work on Control M scheduling of all inbound and outbound interfaces.

Financial Systems Highlights

Update

Kuali Financial System Release 3.0 was released to the public on 10/30, one day ahead of schedule. Many thanks to all who supported this amazing feat.

The development and environment teams are working on installing KFS 3.0 with all the modifications developed to date. The current round of testing has prompted a few more modifications and development is under way on those.  The new modifications will require the rewriting of some of our future Business Processes and test scripts.

An official go live date has not yet been decided. The delivered code and remaining tasks  are being evaluated. We hope to announce a new date before the end of the year.

KFS Testing

KFS Business Analysts are in the middle of Integration Test Phase 1. In this phase we are testing the modifications that have been made to KFS to support the UA's business workflows as well as testing the application and integration points with dummy files. 

Test scripts created thus far total over 1700. We are sharing these test scripts with other schools and they are finding them to be very useful.  Nearly half of the scripts have been completed with a success rate of 87%.

Integration design work has begun and finishing touches are being added. Our next round of testing, planned to start sometime in February, will include interfacing with the IDB units on campus, as well as feeds from the payroll and student systems, JP Morgan Chase for PCards and Wells Fargo for banking transactions.

Conversion

Conversion is nearly complete, clean up remains to be done on Purchase Orders and Vendors.

 

Business Intelligence Highlights

Highlights

The BI team has continued to work hard on improving dashboards, reports and subject areas. It appears that UAccess Analytics remains of great interest to users. The BI Mosaic Community has 232 members and overall feedback on UAccess Analytics has been positive.

October 2009 Statistics:

To date, access has been granted to 3585 employees, the majority of which are Time Approvers.

Classified staff are by far the biggest segment of users (70%) - higher than their percentage of the workforce (52%)

For the month we have seen 814 different users accessing UAccess Analytics

The three most used dashboards are ‘Business Manager Homepage', ‘Time and Labor' and ‘Employee Details'.

Usage during the week of payroll appears to be slightly higher than during the ‘off' week. Peak numbers of users per pay range from about 290 - 310.

Planning

The BI Team will continue to collect feedback on existing dashboards and reports and plan improvements for Phase II

Stabilizing the BI production environment to diminish the number of  outages experienced in the startup

Technical Highlights:

HR : Limited to HR data only we created a faculty profile, individual departmental profile and various department comparison views in OBIEE. This is a first step to show the capabilities we will have in the future to make meaningful displays.

 
Student Administration 

Highlights

The SA team continues to make great progress.  We are now officially running on Production Hardware, have begun training our Academic Department Class Schedulers, and will begin our System Integration Testing next week for the Bio/Demo Financial Aid I Go Live on January 25th.  Things are definitely in full swing!

Conversion

Bio-Demo: external validation by business offices has begun.  Reconverted full population.  Working on processes/rules for merging with HR data.

External Organizations: Slight modification may need to be made to include school characteristics/attributes that are needed for transfer credit and advising purposes

Schedule of Classes: Historical data is being reconverted with CPP and enrollments

Honors and Awards:  Mapping changes for honors and awards have been made.

External Education Data, Test Results, and Test Credit Model: Validation in progress

Transfer Credit: Transfer data has been converted. Pseudo course substitutions have also been converted.  TC/AA groups are validating converted data.

Student Group (SR): Data for the 100,000 students have been converted in CNV.  To be validated.
