Business Process: Access/Log In

Where do I go to access UAccess Student? What is the url for UAccess Student?
- First go to http://uaccess.arizona.edu/. From there be sure to select the UAccess Student
I am trying to log into UAcess Student and am getting an error message.
- The error message:
  Attention
  We're sorry, an error has occurred. Please contact the UITS 24/7 IT Support Center, (520) 626-TECH (8324) for assistance.
  
  Indicates that the person trying to log in does not have an account to UAccess Student at this time. Staff will need to have their supervisor request access on the UAccess Launch page. Students will need to be currently enrolled the first time they use UAccess Student.
I am logged into UAccess but am getting an error when I click on a navigation link.
- Error Message will read:
  You are not authorized to access this component.
  
  You have not been granted security access for the component you are currently trying to access. You may have access to the designated component and page but not the specified action page. Contact your system administrator.
  
  The user's security roles/premissions will need to be adjusted. Their supervisor can request access on the UAccess Launch page.
Do I need VPN from off campus to launch UAccess Student?
- If you are using any UAccess self service functions, No you will not need the UA VPN. If you are trying to perform administrative functions, Yes. To access UAccess Student from off campus you will need the UA VPN.

Business Process: Schedule of Classes

I can only see the Fall 2010 Schedule of Classes
- At this time, only the Fall 2010 Schedule of Classes is available in the new system. After March 22, 2010, all previous schedule of classes will be available in the new system. .
I am using a look up page in the schedule of classes to find a course, but cannot find it even though I know the course exists. Where did it go?
- If you are using the subject Area and the Course Nbr fields as the search criteria to search for a course in any look up window, try using the “%” wild card before the course number. For example, write “%403” in the Catalog Nbr field, instead of simply “403”. This is because the PeopleSoft Course ID field is 10 characters long (four numeric and six alphanumeric), while UA course ID's are three numeric and one alphabetic character.
How can I search for Honor’s classes?
- To search for Honors classes, use the course attribute field under the Additional Search Criteria of the Class Search.
The UAccess Instruction Mode field offers new options. When should I use each option?
- The following are descriptions of the instruction modes currently available:
  
  Correspondence study: All (any) interaction with instructor is conducted by correspondence using USPS, designated carrier, and/or email; can include downloaded print and/or audiovisual materials.
  
  Audiovisual Media (self study): Course consists solely of self instructional audiovisual media, i.e. there is no instructor per se. Course materials are distributed via analog or digital media (e.g. audiotape, videotape, CD, DVD). Media files may be downloadable via the Internet, but all media files must be usable offline.
  
  Cable TV: One way broadcast, cable access required.
  
  Interactive broadcast/webcast: Students attend live, regularly scheduled class meetings in groups at scheduled course sites via two-way television transmission or group web-conferencing.
  
  In-Person: Exclusively based on attendance at regularly scheduled class meetings at scheduled locations and/or other in-person instructional activities (group or individual). Course materials (e.g. syllabus, readings, AV media files) may optionally be posted online, but there are no interactive instructional activities online.
  
  Fully Online: All instructional activities including regularly scheduled live or interactive meetings (if any) are conducted via internet. Note: There may be one or more required scheduled proctored examinations conducted in person at specified locations.
  
  Hybrid (in-person & online): There are some regularly scheduled class meetings on site in person but one or more of the regularly scheduled meetings has been replaced with a online class-meeting OR has been canceled and replaced with other online instructional activities.
How do I seach for Tier I and Tier II Classes?
- In the Class Search, under the Additional Search Criteria, there is a search field called Course Attributes that will allow you to search for Gen Eds and Tier classes.

I cannot see course catalog historical information in UAccess Student.
- The UAccess Browse Course Catalog displays the course catalog information as it is approved today. For course catalog historical information, please refer to the UA Online Catalog at http://catalog.arizona.edu/allcats.html.
Where can I go to download the Schedule of Classes training guides and glossary?

If there are multiple addresses how can I view them all?
- There are mulitple ways to view all the addresses for a student. If you are on the Biographical page in the address box you can select the View All link to show all the addresses at once. If you want to view one address at a time you can select the right arrow button in the address bar. You may also select the Address tab which will take you to the address page.
How do I add an address, when all I see is edit?
- Select the Address tab to get to the Address page. On the Address page, under the Add Address bar, select the Edit Address link. This will display the page where you will enter the new address. You will be prompted to select the type of address. Once you have selected the Type, you will be returned to the original address page. Select the Submit button.
How do I edit an address?
- Select the Correct History button. Under the Current Address bar, select the Edit/View Address Detail link next to the address type you want to change. On the displayed page you will see the current address. Select the Update Addresses link to change the address. Make any needed changes to the already existing address.
How do I add an already existing address type?
- Select the Correct History button. Under the Current Address bar, select the Edit/View Address Detail link next to the address type you want to add. You will be taken to a page where you will see the current address. Select the Add button for the new address type you wish to add. This will duplicate the already existing address. Next, use the drop down menu for the Status field and select Inactive for the address with the older Effecitve date. Then select the Update Addresses link next to the active address. In order to add a new address, you will have to delete the previous information. Select OK.
I am looking for Relationship/Emergency Contact information. Where will I view this?
- Relationship and Emergency Contact information are both under Campus Community, Personal Information, Biographical. Select Relationships and then Relationships again to search for the student's information, or select Emergency Contact and search.
When I'm looking at the SSN ID why does the student have an SSN with all 9's?
- If there is not a valid SSN in Matrix, the field will display in UAccess as all 9's when migrated.
Where will I find Veteran Status?
- On the Bio Demo page, select the Regional tab. The Veteran status will be located towards the bottom of the displayed page.
If I am both a student and an employee, do I need to update addresses, phone numbers, and email addresses in both systems?
- No. If you update update address, phone, or email type, it is updated in the other. There are some address and phone types which may be specific to either Student or Employee status, like Billing for students. These will need to be updated separately.
How do I make sure I get my financial aid, last paycheck, or other key documents during the summer or after I graduate?
- Make sure that your Mailing Address and/or Home address will be valid for the following year. Some Payroll items come long after you leave, for instance, W-2 forms. You need an address with staying power .
What do the address types mean?
- Permanent Ideally, a permanent address is where you can be reached summers and if other addresses are absent or invalid. By default Financial Aid mailed during the summer months (May, June, and July) and Diploma (if Diploma address is not provided by the student).
  Updateable in self-service.
  
  Mailing General mail contact address with student or employee applicants as well as students and employees. Also campus directory address.
  
  SA: Use for Bursar's Office checks including Financial Aid disbursements mailed during the academic year and Summer Session Financial Aid. Updateable in self-service.
  
  HR: Use includes employment checks and warrants.
  
  Billing Bursar's Office bills when entered by the student and when mailings to other addresses are not provided or are invalid.
  
  UA Street Addr Physical Street Address while attending UA. Not PO Box. Designed for International students that are required to provide a physical address for SEVIS reporting. Can be used by other students or employees.
  Note: requested by ISPS for Intl Student reporting for SEVIS and by the Registrar
  
  Bio Demo conversion: Will be initially populated from OLA (Permanent Address) if applicant is Internationalwill Matrix Local address.
  
  Int'l - Home Contry For Int'l students for their country of origin address; feeds to SEVIS system. Not updateable by student.
  
  Diploma Address to send diploma if different from Mailing or Permanent address
  
  Resident Life Mailing address when available; Residence Life supplied address for students in dormitories; not updateable by student in PS self-service.
  
  ISIR Used for Financial Aid ISIR imports; not updateable by student in PS self-service. Updated by batch load process. Students update these addresses through ISIR and they then are passed to us. Useful for search match and as reserve address.
  
  Home - HR and employees only. Used as primary residence address for most HR mailings. Determines state and locality for income tax withholding and what benefits programs are available and paid for by UA plans at that location. Update in HR only; do NOT edit from SA.
Why can't I update some of the addresses?
- Some addresses, like International Home Country, must remain constant for reporting purposes. Contact the Registrar's, Financial Aid or the International Student Office for additional information. ISIR and Dorm addresses are loaded systematically.
If I am an International Student, what other addresses do I need?
- Foreign students, especially those on an F1 or J1 visa, need to enter and keep current a UA Physical Address (the location where you live) and an International - Home Country address for federal reporting purposes. Once provided, individuals can't update International-Home Country.
My name in the system changed from what I entered? What should I do?
- No action is required by you. Primary Name is shared between the HR system and the Student system. If you accepted a job on campus, HR will update your Primary Name to your Social Security name. This is required for federal reporting.
Can I enter a nickname or other name I would prefer to be called?
- ADD You can enter a Preferred Name to record the name you prefer to be called. This will only appear ……
I keep getting an error message trying to change my email address. Message says "SMTP sendMail failed." What should I do?
- The official email address (usually NetID@email.arizona.edu), can't be changed. Attempting to change it will trigger an error message.
My personal email doesn't show in Self Service. Why not? It did before.
- When Bio-Demo went live January 25th, Personal Email was blanked out. Only the official University email is maintained.
When I checked in the new system, the capitalization of my name was wrong? What do I do?
- The conversion from the old system could not address all possible combinations of capitalizations. On your primary name, you can have this corrected by the appropriate office. You may correct Preferred Name in Self Service.
Who can see my SSN?
- SSN view is limited to those that need it for business reasons. Business reasons include tax and benefits for employees, and Financial Aid for Students and system maintenance. National ID on the Personal Information pages is masked for all system viewers except for those few who handle these business functions.
How do they know an Address is active? Nothing about it seems to show in the Addresses or Add/Update screens.
- PeopleSoft can have multiple Active records for different date ranges. What 'Active' in PS means is this record is active for the date range specified.
Is there a quick way to update all Address Types at once?
- Click on the boxes for all types to be updated and hit Submit and Save. It is not necessary to enter addresses in all categories if they are all same since blank address will revert to Permanent or Home address.
Will it cause problems if I add hyphens, accents, and other spelling differences to names
- No. The system will handle hyphens, capitalizations, accent marks and capitalization.These do not interfere with the ability to search for people.
What is “Campus ID” on the SA Personal Information and Search pages?
- Campus ID is the UA NetID. Campus ID and UA Official Email will be automatically populated in person records.
The default effective date is today. When should I set past or future effective dates?
- Setting effective bio-demo dates in the past will be rare.
  Future effective dates will be frequent, for instance, to set an address or new phone number that won't be effective until summer or after graduation. For more information on when to use effective dates for specific items, contact the administrative office that is responsible for that item.
I am having trouble with Countries Add/Updates.
- Clear the Cache on your machine. If this does not help, contact the Registrar's office for assistance.
Why do we need Search/Match and the other search features? Can't I just look up a name and birth date?
- Using Search/Match helps to control duplicate records being entered into the system for Student and Employee data or changes being made on the wrong person. You can search by name but this is not recommended when entering or updating information.
What are Parameters? What are Result Sets? Why to I have to enter them in Search/Match when I don't in normal search?
- Parameters are your search criteria. They tell the search engine to select the records that meet the following conditions you enter.
  Result sets specify what will appear in the results presented to you to help compare records.
  Search Match is the more flexible and comprehensive tool and is more likely to find a duplicate in non-standard cases. It gives you options so you can select what is most helpful in the circumstances.
Which Search Result Codes match up with which Search Parameters?
- All result sets will work (run) for any parameter that works. However, search parameter for each area will prominently return search results relevant to that area. For example, Admissions search parameters will return results based on Admissions.
What are the operators that are defined in the Search Parameters? For instance, I'm using UA_AD_MANUAL, so does it do me any good to have five characters of the last name instead of four?
- Operators can be built in. You can achieve the same effect of some operators in Ad Hoc searches by using the Begins With and the Contains pull down menu only available in the Ad Hoc parameter sets.
  More characters can let you find a match with fewer possible duplicate cases.
I did a search/match for a student and I know there is an employee with the same name. He didn't show in my results. Why not?
- You may have defined your search criteria too narrowly to locate different spellings of a name or inclusion of middle names in one area but not another. If expanding your search criteria does not help, contact either the Registrar's Office or Systems Control for assistance.
Is there a single Search Parameter that everyone should be using? Same goes for Search Result Codes.
- You may want to use the Search Parameter developed specifically for each area. Financial Aid and Admisisons have specific searches for example. You can also build and store your own Ad Hoc search for future use.
Why would I use an Ad Hoc search over a predefined?
- Ad Hoc searches permit using the Begins With and the Contains pull down menu. This will help expand your search results when you may not have exact data for your search.
If I am not adding a person, but am simply updating information on an existing person's record (say, updating an address), what's the compelling reason for me to do Search/Match rather than using Add/Update?
- Add/Update and Modify have a basic Search/Match built in. (The parameters and results sets are preprogrammed.) However, this may be insufficient to find the correct record on which to make corrections.
  Search/Match permits more ad hoc searches such as partial spellings or parts of words.
What do I do as a user if I think I've found a duplicate?
- If you think you really have found a duplicate, notify your supervisor. If possible, discontinue data entry until the issue is resolved.

What is Ad Hoc Search?
- You will use the Ad Hoc Search when you have a very limited amount of information to search on. Selecting this feature expands the search and makes the search less restrictive.

What's going to happen to WebRoster?
- WebRoster will be replaced by UAccess Instructor Center with the March, 2010 Student Records go live.

- WebReg restrictions will be converted into UAccess Student with the March, 2010 Student Records go live.
How much data will be brought over from legacy systems?
- All student academic data will be converted into UAccess Student. Some student financial transactional data will remain in legacy systems for prior years to be available for reference.

Business Process: Schedule of Classes

I just got my account to UAccess Student, but I do not see any schedule of classes data. Why?
- If you are trying to access the SoC and don’t see any data in any of the SoC pages, you may not have the appropriate security access rights in UAccess Student. Only approved Department Representatives that have access to the RCS Online Course Forms have been given this access in UAccess Student. If you have access to the RCS Online Forms but not to the Schedule of Classes in UAccess Student, please contact Tech Support to obtain access to the SoC for your academic organization (department).
  If you already have the appropriate access right to the Schedule of Classes pages, remember you can only schedule classes that belong to your academic organization (department). For instance, if you are in the Chemisty department, you cannot schedule classes for the Physics department.
While attempted to save the Schedule of Classes and a "Data Conflicts" error message is displayed.
- This usually means that two or more users attempted to update the record simultaneously. Exit out of the component and attempt the transaction again. If the error persists, capture navigation and input parameters.
I cannot schedule classes through Schedule New Course or the Maintain Schedule of Classes page even though I was able to schedule yesterday. What happened?
- Academic departments have access to schedule courses only during the open scheduling period. If the open scheduling period has ended, you cannot schedule classes anymore. You may update a few Schedule of Classes fields (i.e instructor name, enrollment capacity). Once the open scheduling period is over, you can submit RCS Online Course Forms to add, change and cancel sections.
I am trying to schedule a course, but it does not appear in the Maintain Schedule of Classes page?
- Only courses that already have sections scheduled during that semester will appear in the Maintain Schedule of Classes page. To create the first section of a course for a particular semester, you must use the Schedule New Course page.
I am trying to schedule a course, but it does not appear in the Schedule New Courses page?
- If the course does not appear in the Schedule New Courses page, the course is not active in the Course Catalog for that semester. This can be remedied using the FormLink process with the Curriculum office.
Our department recently approved changes to a course. The course catalog reflects the change, but the SoC does not. What happened?
- Course changes made after the course has been scheduled do not automatically reflect in the SoC. Contact RCS to have the course catalog data rolled into the SoC or to make the necessary changes
I am trying to schedule sections that meet together in the same room. Every time I specify a facility I get an error message?
- When scheduling more than one section that meet in the same room at the same time, you need to first schedule the classes - without the facility in the Meetings Page selected. You can select you facility preference in the UA Facility Prefer tab. Second, you should create a combined section that will link all the sections that meet together. Use the Combined Sections Table page to identify sections that will meet in the same room at the same time. RCS will assign a facility to the class based on your preference.
I have scheduled an Honors section, but it does not display in the Class Search link when I search by "Honors Course" in the Course Attribute as the criteria?
- When scheduling Honors sections, you need to change the Course Attribute Value field from "Honors Section" to "Honors Course" before this section can be searched in the Class Search page.

Business Process: Instructors

I am trying to add an instructor to a class, but cannot find the person in the look up window of the Meetings page. What can I do?
- An instructor must 1) exist as a person in the Student system via HR and 2) must be authorized to teach in the department the class belongs to via the Instructor/Advisor table.
  
  1) Do a Search/Match to see if the instructor is in the system. If the instructor is not found via Search/Match then the person has not been entered by HR yet. You will need to call the appropriate HR Rep for assistance.
  2) If the instructor is found via Search/Match then the person is in the system but may not be in the Instructor/Advisor table or is coded with the wrong Academic Organization. Navigate to the Instructor/Advisor table and a) make sure the person is in the Instructor/Advisor table and 2) make sure the correct Academic Organization is affiliated with the person.
  
  See the Instructor/Advisor guide for information on how to add or modify the Instructor/Advisor information in UAccess Student.

What are Course Components?
- Course components in UAccess are equivalent to the Activity Type in SIS. Lecture, Discussion, Lab, and Colloquium are all examples of components in PeopleSoft.

Business Process: Access/Log In

I can access the page but I cannot make any updates.
- You may have "View only" access to the page or if you are affiliated with a Department, departmental access for updates may not be available at this time.
I am logged into UAcess but I cannot see the right menu/navigation items.
- Check to make sure you are logged into UAccess Student and NOT UAccess Employee. UAccess Employee, where you submit your timesheet, does not include the pages you need to perform administrative functions.

Where do I go to view or update bio demo data for students?
- There will be many places where you see bio demo information in UAccess Student. However, the place where bio demo is stored is in Campus Community. From there you will select Personal Information and then select Add/Update a Person.
I'm looking for any previous name entries, including the student's middle name. Where can I view these?
- On the Biographical Details page there is a link at the top of the page titled Names. However, before you select this link you will need to select the Include History button if you want to view their previous history, or select the Correct History button if you will be editing or adding a name. Once you have entered the Names page select the Name History link to view all previous name entries for the student.

What is the difference between the two tabs on the main Add/Update a Person page?
- The first tab, Find an Existing Value, is used to locate a student who already has existing bio demo information. The second tab, Add a New Value, is used to add a new student's bio demo information.
What is the difference between the search results on the Add/Update a Person page and performing a Search/Match?
- Performing a Search/Match should occur before you run a search on the Add/Update a Person page. This will help eliminate any chances of creating a duplicate ID for an applicant/student. A Search/Match is more comprehensive and likely to find duplicates.

Where can I find a student’s academic standing?
- Go to Records & Enrollment > Student Term Information > Term History. Search by student and then view the Academic Standing tab. Or, go to Campus Community > Student Services Center and search by student. Navigate to the Academics tab, then scroll down to the Term Summary and select the appropriate term. Academic Standing is located on the right side of the page under the Primary Program.

What is the Student Career Number and what do the numbers 0 and 1 mean?
- Within each academic career (i.e. undergraduate, graduate, etc.), a student can have multiple academic programs (college plus degree). The Student Career Number is used to differentiate academic programs within the same career. The Student Career Number of 0 is considered the primary program and the Student Career Number 1 is considered the secondary program.

Business Process: Milestones & Placement Codes

How do I locate a particular student’s milestones or placement codes for Math and English courses?
- Pre-Fall 2010 student Milestones were converted from SIS and can be viewed by going to Records and Enrollment > Enrollment > Student Milestones. Beginning Fall 2010 placement codes will be located in test credits and can only be viewed on the internal transcript (also known as the Academic History Report).

Is a student’s sub-plan (option or concentration) associated with his/her major or minor on the student’s CPP stack?
- The student’s sub-plan is associated with their major.
How do I change a student’s program/plan/sub-plan? Where can I find the form?
- Changes to the student’s program and plan are entered by staff in the Office of the Registrar. A workflow process will be place by March 22, 2010 along with instructions and the location of the workflow form.

Business Process: Grade Replacement Option GRO

How will a staff person be able to determine when a student is GRO-ing a course in UAccess?
- Courses are tagged as GRO on the Academic History Report (also known as the internal transcript).

Business Process: Student Leave of Absence

In UAccess, how can an advisor determine if a Leave of Absence has been approved?
- The advisor will view a Program Action of Leave of Absence on the student’s Career and Program Plan page. This information is also found in Student Services Center on the Academic tab under Institution/Career/Program.

Business Process: Waitlist

How do I add/delete/move students on the waitlist?
- Process an Enrollment Request for that course through normal enrollment channels.
Where can I find the waitlist for a course?
- Go to Curriculum Management > Class Roster. Search for the class, and when it appears choose to view the Wait List from the Enrollment Status drop-down box. If no students are on the wait list then the wait list view will not show as an option.

Where do I find out if a student has filed an Authorization for Release of Information form?
- Go to Campus Community > Comments > Person Comment Summary.

Business Process: Effective Date

What is an effective date? What do I do if I think it is the wrong date?
- An effective date in UAccess shows when a particular change to the student’s record becomes effective. If you think a date is wrong you should emailreghelp@email.arizona.edu with a full description of the problem including the student’s ID number, full name, and page in UAccess where the error is showing.

Do I submit course approval through UAccess?
- No, the course approval process is still the same. You need to submit new courses and course updates through Form Link. Once approved, new courses and course updates will appear in UAccess Student.

How do I view Class and Grade Rosters through the Instructor Center. I need to be able to see what my faculty are seeing.
- For Academic Department Admins to log into Instructor Center and have access to Class and Grade rosters the administrator must be listed as an "Instructor" on each section of the class with an Instruction Type of Dept Admin and the Print box unchecked. The adminstrator then needs to log in to UAccess Student through the Instructor Center link
How do faculty view past Grade Rosters?
- We are currently working on publishing past grade rosters in UAccess Student Instructor Center.
How do faculty not presently teaching access the Instructor Center?

When I'm adding a new student's bio demo information, do I need to enter something different in the ID field?
- You do not need to enter a new value in the ID field, leave as New. When you add the new student an emplid will be generated.
If I want to add a name change what Type will I select?
- We will always use Primary as the type. If we are recording a nickname we would use the Preferred type.
I'm trying to make a change to the students bio demo information and I'm getting an error?
- If you are reciveing the following error (Cannot change current history records unless in Correction mode) it is because you will need to select the Correct History button before you make any changes to the student's information.

If I'm adding an application for a student who already has an existing ID or adding an application for a new student, do I need to enter anything different in the application ID field?
- No, when you select Add, a new application number will be assigned to a student.
I was entering an applicant and a warning popped up saying "Warning -- Potential duplicate found at Search Order Number 50 - "Last Name Only""
- Based upon the data entered and the search/match criteria, a potential match exists between the data being saved and at least one person already in your database. Use Search/Match to further investigate potential matches. This will help you decide whether the ID is truly new or if it already exists. Select OK to ignore the warning and continue saving, or select Cancel to review the results.
I'm entering an applicant and received an error message saying "This Academic Program is not valid for the Academic Career."
- This is most often caused by the Effective Date. When entering an application, the Effective Date needs to be greater than or equal to the beginning of the intended Admit Term. The effective date cannot be less than the minimum term begin date.

If I have selected the Search Parameter UA_AD_Manual and want to use Ad Hoc Search I'm getting a message of No Matching Values found?
- When you want to use Ad Hoc Search you must select the Search Parameter UA_AD_ADHOC then select the box in order to search with those parameters.

I'm filling out information on the Update/Add a Person page and I'm seeing a field populated in red and getting a message that says "Highlighted fields are required."
- If you are seeing a field in red it is because that field must be populated in order to move forward. You will need to fill in the field appropriately.

- This could be due to the setting of your defaults. Set up SACR>User Defaults.

I filled out the External Course Defaults why are they not appearing on the course entry level?
- You need to make sure you select the Apply Defaults button otherwise your defaults will not be defaulted.
I have a field that is red and won't let me save?
- This is a warning that the field needs to be populated and with a known value before you can save it.
When I go to save courses entered I receive a Duplicate warning, what do I need to do?
- This is just informing you that you have entered multiple courses with the same course number. You may want to make sure it has been entered correctly, if so select the save button again and it should save.
When do I Add a New Value when creating a course model?
- Only if the student has never had a course credit model created. If they have even had one model created you can perform a search.
How will I know if they haven't had a model created?
- When you perform a search and you receive a message saying No Matching Values Were Found and there are courses listed in the External Edu page you need to Add a New Value.
I selected the Fetch button, but no courses came over.
- A: You have not populated all the fields necessary to run envoke the rule process. Make sure the Academic Program, Ext Org ID, Data Source & Articulation term are filled in. B: Make sure the Articulation term is reading appropriately, it should be the term in which the student intends on enrolling for.
Why do I only see certain icons in the Model?
- Depending on the status of the course certain icons will or will not appear. Accepted: Edit Equivlent Course, Reject Ext Course, Add Internal Equivalent, Comment/Override Reason. Rejected: Edit Equivalent, Comment/Override Reason. No Rule:
When I went into the Edit Equivalent icon to view the course, why when I exited did the status change to Rejected? I did not want to reject the course yet.
- When you enter this icon if you select the OK button you are telling the system that the Internal Equivalent which is blank is correct, that you would not give credit for this course and it should be rejected. When you drill down to review the course you should select the Cancel button to take you back to the previous page without changing the status of the course.
What will happen if I hit the Post button?
- If the student has not yet been term activated the students courses will look like they have been posted but are not.
I know this student has multiple transcripts why can't I see them all?
- The system stacks External Orgs the student has attended. If you select the View All link you will be able to view all of the students educational history. You can also select the right arrow button to move to the next External Org.
I hit the calculate button on the Transfer Summary page in Course Credit-Automated, why are the credits not showing on the Transfer Credit Summary Page?
- When you click the Calculate button you must also select the Save button, if you do not save the Transferred Units will not appear on the Transfer Summary Page.

Which addresses do I need?
- As a student, you need Permanent and Mailing. For a student on an F1 or J1 visa, addresses are more complex (see Below). Other address types like Billing address and diploma address will only be needed by some students.

When I log into my student center, I do not see any addresses. Where can I see these?
- Your addresses may have converted to specific detail types, like Billing. If you do not see any addresses, you should click on Other Addresses in the drop down menu on the lower left, then Go. This will bring you to the details where you can see any addresses you may have and add or make changes.

I tried to add a class over the weekend and I couldn’t. What does it mean when UAccess tells me I don’t have a valid enrollment
- UA students are assigned scheduled enrollment appointments based on their classification (senior, junior, sophomore, freshman, graduate, etc.). A student must have an enrollment appointment in order to enroll. The appointment refers to the date and time the student will have access to enrollment for the Fall or Spring semester.

How can I find out when I can enroll in classes?
- Your enrollment appointment is listed in UAccess Student Center. In the blue block on the right side of your student Center, it will list your enrollment date. Be sure to click on Details to see your actual enrollment time.

Why do I need the department’s permission to add a class when there are open seats?
- Departments have the authority to hold seats for students with a major in a particular subject. It may still be possible to get their permission to add a class, if you have a minor in that subject, or another good reason for taking the class. Contact the department offering the class to determine if you may meet their criteria.

Can I put myself on a waitlist, and how does that work?
- If a class you have attempted to enroll in is full and there is room on the wait list then you will check the “Wait list if class is full” checkbox during the enrollment process. If you are successfully added to the wait list you will see a yellow triangle in the Status column of your Shopping Cart. A message will be returned indicating your position on the wait list.

How can I update my billing address?
- Go to UAccess Student. Under Personal Information, select addresses from the drop down menu. If you do not have a billing address, you may create one. To change or update your address(es) in person, go to the Registrar's Office, Administration Building Room 210. For audit reasons, the Bursar's Office may not update student addresses.

Can my refunds be sent to my bank account instead of by check?
- Yes. You can change your preferred refund method from check to ACH on UAccess Student. Under Finances select Account Inquiry > Web Refund Enrollment.
Why didn't I receive all or a portion of my refund by check or ACH within three days?
- Look in UAccess Student for any credit or debit card payments made on your student account within the last 60 days. These payments will be refunded back to the credit/debit card, per our credit card merchant agreement. If you have not made any credit or debit card payments in the last 60 days, please contact the Bursar's Office.

Where is my financial aid money?
- Check your Account Inquiry in UAccess Student and view the Activity screen to see if your financial aid has been applied to your student account. A debit with the description "refund" means that we have sent your residual funds. If you signed up for Web Refund on UAccess Student your money was sent via ACH. (Normally, it will take 2-3 business days for this money to appear in your bank account.) If you haven't enrolled in Web Refund, a check was mailed to you. (If you do not receive it within 15 days, see Reissuing Checks .) If your financial aid has not been applied to your student account, please contact the Office of Student Financial Aid.

How do I run a What-if advisement report now that Advisor Link is gone?
- What-if will be unavailable to advisors until the time individual majors go live in UAccess. So, as the new Advisement Reports go live in UAccess, the what-if functionality of UAccess Advisement Reports will be available. Students will still be able to run What-if SAPRS via Student Link.

What do the grades of 2A and 4A mean on the DARS audits?
- The TA, TB, TC grades have been replaced with 2A, 2B, 2C or 4A, 4B or 4C. The T in front of the grades designated transfer courses. The 2 or 4 in front of the grades still designate a transfer course but now it also designates what type of transfer institution the course was transferred from: 2 = a 2 year institution and 4 = a 4 year institution.
What does the grade of TT mean on the DARS SAPR?
- The TT grade designates credit from an exam, such as AP, IB, CLEP.
Why are there courses missing from Excluded Coursework section on the DARS audit?
- No transfer courses or exam courses will appear in the Excluded Coursework Section of DARS. No transfer credit lower with a grade lower than a C or exam in which there was not credit received will appear anywhere on the DARS audit. To look at excluded transfer and test credit advisor can view the rejected Transfer Credit: Report in Student Service Center. (Campus Community à Student Services Center à Search by Student’s ID or Name à In the Drop Down Bar select Transfer Credit:Report) Students can view their rejected transfer and exam credit via the Student Center. (Student Centerà In the Drop Down Bar select Transfer Credit:Report). 2. University of Arizona credit with the grade of W will also not appear in the excluded coursework section.
Why is the class a student added/dropped this morning showing in on the DARS SAPR?
- There is no “real time” function in DARS. Information updated in UAccess, such as change of major, enrollment activity and transfer credit, is pulled overnight and should appear on the DARS SAPR the next day.
Why does the exam credit term appearing DARS SAPR or UAccess different from the term the student says they took the exam?
- All exam credit from DARS was converted into UAccess with the student’s articulation term. In most cases, this is the first term the student is an active student.
What does it mean if there is a TRE or TRI next to courses on the DARS SAPR?
- These codes designate duplicate transfer and exam credit in which no credit is received. TRE designates transfer credit duplicate credit and TRI designates exam credit duplicate credit.
What is this AGEC course appearing on the DARS SAPR?
- In order for the DARS audit to continue to award general education credits for a completed AGEC, a pseudo course was created. It awards no credit but simply serves as a AGEC designator.
How do I run a DARS SAPR for a returning student who is not currently active?
- There is a manual way to create a DARS SAPR for these students. Graduation Services are the only ones who currently have access to this process.

I can no longer see Transfer Totals by Institution at the top on the DARS SAPR, where can I view transfer credit?
- The transfer credit totals from each institution is no longer available on the DARS SAPR, but you can view Transfer Credit in the Student Services Center. (Campus Community ? On the DARS SAPR, the name of institution or exam does not appear beneath the course. How do I know where this class transferred from or what exam the credit is from?
- Advisors can look up the courses at each institution on the Transfer Credit:Report in Student Services Center (Campus Community ? Student Services Center ? Search by Student’s ID or Name ? In the Drop Down Bar select Transfer Credit:Report) Students can view their transfer credit via the Student Center. (Student Center? In the Drop Down Bar select Transfer Credit:Report)
Why are some transfer course equivalencies in the Transfer Credit Report not appearing as articulated in the AZ Course Applicability System?
- If a transfer course with no direct UA equivalency had a CS/CR exception made by an advisor in DARS, these exceptions were converted into the Transfer Credit Report. For example, a student took SOC 101 at Riverdale Community College and it transferred into DARS as SOCT0003. An advisor then made a CS exception for SOCT0003 to substitute for INDV102.
  In the UAccess Student Transfer Credit Report, SOC 101 from Riverdale Community College transfers in as INDV102. By clicking on the Comment/Override reason link on the SOC 101 line on the Transfer Credit Report, you can see that SOC 101 originally transferred into the UA as SOCT0003.
What does 1TR and 3TR mean in the course catalog number of a transfer course, i.e. SOC 1TR?
- The TR numbers designate elective transfer course, just like the T00# numbers. The 1TR designates a lower division transfer course and the 3TR designates an upper division transfer course.

What do grades of 1PR, 2PR, 3PR, 4PR in the Second Language in Exam credit?
- The PR designates Proficiency and the number designates the level. So, LPR means Limited Proficiency, 1 PR means First Semester Proficiency, 2 PR means Second Semester Proficiency, etc.

For the Honors requirement on the advisement report, how are the minimum honors units determined?
- A student’s honors unit requirements are determined by which honors student group the student belongs. The student groups are assigned by the Honors College during time of admission. An advisor can view which group a student belongs to through the Student Services Center (Campus Community ? Student Services Center ? Search by Student’s ID ? General Info ? Student Groups). A student can see their own student groups in the Student’s Center (Student Center? General Info ? Student Groups).
Why does the Honors requirement on the advisement report say Honors Inactive?
- This student is currently not an active member of the Honors College. They need to contact the Honors College to change their status.
When I run an advisement report for a student, why are some of the requirements collapsed and some expanded?
- When the advisement report is first processed, the default is set to having all of the completed requirements appear collapsed and the requirements that still need to be completed appear expanded.
What are the numbers on the advisement report that begin with “R”?
- These numbers are the requirement groups (RG), requirement (R), and Line (L) numbers to reference while troubleshooting in the system and will be used by advisors after May 17th to make advisement report exceptions.
Why is Tier 1 Nats required if the student is in a science major that does not require Tier 1 Nats?
- The Advisement Report in UAccess shows all of the requirements the student needs in one degree audit. So, if a student has a second major or degree that requires Tier 1 Nats, the Tier 1 Nats requirement will appear in the General Education Section.
Why are all the Tier 2 Requirements Showing?
- The Advisement Report in UAccess shows all of the requirements the student needs in one degree audit. So, if a student has mulitple majors or degrees that require different Tier 2 courses, multiple Tier 2 requirements appear on the Advisement Report.
Why does this student only have Math and Second Language General Education requirements appearing?
- This student probably has an AGEC. Students who have completed an AGEC at an Arizona community college have fulfilled the English Composition Foundation, Tier I and II General Education, and Diversity Emphasis requirements.
Why is the Math requirement say that 2.67 units are required?
- Per the Math department, the math requirement only requires 2.67 units for the general education Math requirement. This is to accomodate the Math transfer courses from a quarter schools as 2.67 units for one course.
Why don't the title of the transfer courses appear on the Advisement Report?
- The titles of the transfer courses do not appear on the Advisement Report because titles are not a part of the transfer articulation process. To view the titles, look at the tranfer credit report in Student Services Center or at the Transfer Credit Summary under Records and Enrollment>Transfer Credit Evaluation.
Why is 1 course showing in two places?
- There are several reasons why 1 course may appear in more than one place. There are several requirements that are built just to verify if something was taken, like GRCENW or most science major Pre-Majors. These requirements do not "hold" a course but allow it to meet other requirements as well.There are rules set up to allow requirements to share within majors, minors, etc. One example is tier 2 courses are set up to share 2 courses with a minor. Major and Minor graduation requirements are set up this way to verify courses used in that major or minor.
Requirement Lines are disappearing from the Advisement Report or One student has two Requirement Lines while another only has One?
- If there are several alternatives for completing a requirement, they will all show until oneis fulfilled. Once one of the alternatives is complete, the others disappear. Only the one complete will appear.
Why are the courses in the major/minor GPA section different than the course in the major/minor Units section?
- The Major/Minor GPA and Residency requirements were determined by the Office of Academic Affairs to include all courses used in the major/minor, all courses with that major/minor's subject prefix and all other courses that may be used in the major/minor that do not have that subject prefix.
Where can I find major/minor GPA?
- The Units, GPA, Residency and Upper Division requirements are now in a seperate section labeled Graduation Requirements which is located below the major/minor requirements.
Where on the Advisement Report are does it show the student's requirement term, cumulative GPA and Total Units?
- These items do not show up on the online version of the Advisement Report. They all show at the top of the PDF version of the report. It can also be seen on the Academic Tab in Student Services Center.
After I click on the Button to View Report as a PDF nothing happens?
- The PDF version of the Advisement Report will not appear if you have Pop-Up Blocker turned on. Turn off Pop-Up Blocker and try again.
Why are all these courses that could fulfill requirements falling into the Additional Coursework Section?
- There are many reasons a course would fall into additional coursework.If the course is a Pass/Fail course.If it the major or minor has a limit on types of courses that can fulfill requirements like how many correspondence can count, limit to how many "house numbered" courses can count etc.
Why are courses the student has taken not showing up in any requirements on the Advisement Report?
- There are several reasons a taken course would not show in requirements or additional units.If the course is GRO'd the course that does not recieve credit (With a Requirement Designator of GRO) it will not appear.If the course was taken while the student was a Non-Degree Seeking Student and it was after the student reached the 15 units of Non-Degree Limit, it will not appear.If the course was Audited it will not appear.
How do I tell if a course is an Honors Course?
- There are several Requirement Designators on different course types like Honors, GRO and NDS. These can be seen on the PDF version of the Advisement Report under the Course History Section.
How can I see if a course is a Correspondence Course or An Audited course?
- You can view the Grading basis of a course in Records and Enrollment>Enrollment Students>Enrollment
It says that 2 courses are required but only 1 is showing on the list to take?
- If a course is inactive in the catalog, it will not appear on the audit.
What does CC mean after the course number?
- This is a designation for Correspondence Courses.
Why do I get a Page Inconsistant error when I change the As Of Date on the Report Request Tab?
- After you have already processed a request for an Advisement Report and hit Return to advisement report, you can not change the As Of Date. You must return to Request an Advisement Report from the Menu on the Left to start a new request.
Why do the repeat codes in the Course History of the PDF Advisement Report different from the what is on the student's enrollment?
- For courses that are not graded yet, the Advisment Report puts the code that is expected for the student's case. However, this code could change on the enrollment at the time of grading causing the code to be different or even change.
Why are the Total Units Earned different on the PDF Advisement Report and the Transcript?
- In most cases the Total Units Earned on the PDF Advisement Report will match the Transcript. Those that do not match are historical GRO's that were calculated in Dars and were not calculated on the transcript. So, the Total Units Earned on the PDF Advisement Report will match what was calculated in DARS for students who had a GRO and the repeated units will be removed if needed. The Transcript for these students will be the same as it was historically, awarding credit for both attempts.
  
  For students who are now GROing courses, the transcript will take out the units it should from the Total Units Earned and the Advisment Report PDF will match.

When searching for a Topic, Form or Referral, why can I not find what I am looking for in my search results?
- Not all of the old topics, forms or referrals are available in UAccess Advisor Notes. Check to see if you have a Search Filter set. If you do, make sure you have selected the correct search filter or remove the filter completely.
I have the option to not send a survey to a student for an appointment note?
- As in the past, a survey is sent to the student every time you select the Note Category of “APPT” . You can select the Note Category of “APPTNS” which will not generate an automatic survey to the student. APPTNS is an appropriate choice when you are following up with a student on an appointment that already occurred to avoid the student receiving the survey twice for the same appointment.
What if I accidentally entered in a note for the wrong student, what do I do?
- You will need to email a deletion request to your UAAC Representative or College Coordinator with an explanation of the error, the Note ID and the student’s name. The UAAC Representative or College Coordinator will then need to email this information to the Advising Resource Center Director.
How do view my student advising survey results?
- Advisors can only access their own personal survey data. To do so, visit:http://advisor.web.arizona.edu/survey/admin
How do I make a change to a Note that I created?
- You cannot edit a saved note, but you can add an addendum to the note to add any information that you may have forgotten. To add an addendum: search for the note, open it, and add a new comment row.
I want to add an addendum to a student’s note, but it does not have the option of adding a new comment row to the note. Why won’t it allow me to add an addendum?
- You cannot add an addendum to another advisors notes. You are only allowed to add an addendum to a note that you created. Double check to see if the note you are viewing was created by you.
How can I view all the notes for a student, even if I did not enter all of them?
- You can use the Find an Existing Value Tab to search for all of the notes for a particular student. If you search by a student’s ID , it will bring up all the notes for that student, no matter who has entered them. It will bring up a list of notes at the bottom of the screen.
When I search by a student’s ID, it opens a note and does not give me a list of notes to choose from to view. What is happening?
- If you search by a student’s ID and a note opens without a list of notes, this means that this is the only note the student has.
How do I make a Draft or Private Note?
- There are no Draft or Private Notes in the UAccess Advisor Note system.
Why do I have to enter Advisor College, Note Category and Note Title every time I enter a note?
- The Advisor College, Note Category and Note Title are all required fields. The Advisor College is no longer tied to the advisor. In order to identify which college you are working for at the time you wrote the note, you must enter your college code. Note: The college code for Advisor Notes is unique to advisor notes and does not match the college code used elsewhere in UAccess.
How do I find out the date a Note was created?
- The Contact Date is the date the advisor wishes to record as the contact date with the student. The actual date a note was created is at the bottom of the note, the Comment Date. Any addendums added will have their own Comment Date.
Why do all of these notes have CNV in the Title?
- Any notes that were converted from the old Notes System will have a CNV in front of the title. Any notes with the title of CNV DARS ME, designates a converted ME exception from DARS.

Why does the Community College Limit requirement say 56 unit limit?
- The Community College Limit is not limiting the amount of community college courses a student can use on the Advisement Report. It is verifying that the student completes 56 units of coursework at a Four-Year Institution.
After I push the Process Request button, nothing happens. Why?
- After you push the Process Request button you should see the word Processing blinking in the top right corner. If that disappears and the Advisement Report does not appear, on the same page, check the Report Request Log. Find the line with Error in the Severity Column. If that line says: "No academic careers found", the student is not an active student. You will need to change the date in the "As of Date" Field on the Report Request Tab of this page. This date must be a date when the student was an active student. You can find this information in Records and Enrollments>Career and Program Information>Student Program Plan.If there is any other type of error in the Error line, contact the Mosaic Team.

When I click on the Create Exceptions link, why are the options I need not showing?
- There are several reasons why the Create Exceptions page would show incorrectly:The effective date on the first page does not match the requirement term of the student.For student in requirement terms prior to 2010, the Academic Program is NOT blank.The wrong Academic Plan was enterred. If it is a General Education Exception no Academic Plan should be enterred. If it is an exception to the Academic Sub Plan, the wrong subplan is enterred or it is blank.The wrong type of exception was chosen.For a Requirement Change or Requirement Waiver, the wrong Level was chosen.The Requirement Term for the student maybe incorrect. If it is an Exception to the General Education Requirements, correct the Career Requirement Term. The General Education Requirements are driven by the Career Requirement Term.
When making a Course Directive Exception, on the Create Exception Screen, I hit search to look for courses, type in the subject and it takes me back to the Create Exception Screen.
- If you hit Enter after you Type in the Subject of the course, it will take you back to the previous screen. Hit the Search button after you enter the Subject to get a list of courses.
Why is the Program Populated? I thought it was supposed to stay blank.
- It will pre-populate if the Effective Date is 2010 or forward. The Effective date automatically fills the date you make the exception. You will always have to change it. If the student's requirement term it 2010 or forward, the program that is pre-populated is appropriate and does not need to be touched. If the student is in a requirement term prior to 2010, after you fix the Effective Date, you will need to delete the Academic Program and leave it blank.
When I go to make an exception, it asks me for a Requirement Group, Requirement and Line code. Where do I find those?
- Those codes are on the Advisement Report. Requirement Group = (RG) on the Dark Blue LinesRequirement = (R) on the Light Blue Line or the Line with the Blue FontLine = (L) on the Line with the Blue Font.
When I try to make an exception, I get an error saying the Exception conflicts with Existing Exception.
- The Line you are trying to make the exception to already has the same type of exception made to it. You can only have one exception of each type on each line. So, you cannot do two Course Directive Exceptions to the same line. You must delete this exception you just created - On the first exception screen click the minus button on the top right corner and save.
  
  You must Find the Existing Exception and edit it. To find an existing exception, go to Authorize Student Exceptions>Find an Existing Value Tab and enter the student's ID in the Selection Data Field. You will need to Click on Correct History to make any corrections to this Exception.
On the Create Exception Screen, when I search for a course to be enterred in the exception, I enter the course subject but I get an error that says "no courses were found".
- This error occurs for a couple of reasons.Make sure your subject code you are typing is correct. There may not be any courses in that subject under the type of courses you enterred. Check the course source on the previous page to make sure it is correct.If you have changed the course source on that line and searched again, it will not search correctly. You must delete that row by clicking on the minus button on the right. Then you must add a new row by clicking the plus botton on the right to begin again.
I enterred an exception incorrectly, how do I fix this?
- You can go back and type over the exception as long as you are in Correct History Mode. If you need to delete the whole exception, you can do this by clicking on the minus button on the first Authorize Student Exceptions page and hit the Save button at the bottom of the screen.
I am looking for an Exception made to this student's Advisement Report but I cannot find it in the Authorize Student Exceptions?
- Many of the CS and CR exceptions from DARS were converted as Course Substitutions. When searching, if an exceptions cannot be found under Authorize Student Exceptions, search in the Create Course Substitution.
  If there is an erron in a Course Substitution contact the Mosaic Team to correct or delete.
There is a Course Substitution that is incorrect. How do I delete it?
- Contact the Mosaic Team to delete a Course Substitution.
I made an Course Directive Exception to Exclude a course for a requirement but why is the course not coming off the list?
- If a course is crosslisted, it may have two different Course ID's. If you are using a Course Offering it will show all the Course ID's for a course. You will need to exclude all the Course ID's to ensure you exclude all possible courses the student could take.

- You do not need to have an account summary available to make your payment. Your account must be paid by the 21st day of the semester to avoid the $125.00 Unpaid Tuition Charge. You should verify your account balance each time you change your registration by checking UAccess Student. Late fees apply to unpaid tuition whether or not you have been notified. I am not attending this semester. Why do I keep getting a bill?
- Outstanding balances will generate a monthly account summary. If the balance is for registration into a course, and for any reason you will not be attending, you must drop or withdraw prior to the first day of the semester. Please remember that you are financially and academically responsible for your enrollment. Go to UAccess Student to verify enrollment, drop or add classes, check your account balance, or pay by Checking, Savings, American Express, Mastercard or Visa.
I have questions regarding a charge on my account. Who do I contact?
- It is important to identify the origin of the charge first. Various departments across campus may place charges on your student account. Go to the Bursar's Office Dispute Information page for a list of the most common departments that place charges on student accounts. The Bursar's Office is unable to provide details regarding another department's charges, nor can we adjust, correct, or remove these charges. - The Residency Classicication Office may not have your residency status or your lawful U.S. presence on record. You must contact the Residency Classification Office to verify, change or update your status. The Bursar's Office does not set or determine residency.
What is a PAST DUE BALANCE CHARGE?
- This charge is assessed monthly to accounts with any past due balance. Charges will be assessed at a $2 or 1.5% of the past due balance, whichever is greater. University services will be withheld until the account is paid in full. If further action is warranted, you will be responsible for all collection costs and legal fees. Refer to the policies concerning Past-Due Debt for more information.

How do I pay my bill with my financial aid?
- Grants, loans, scholarships, stipends, and waivers will begin posting to student accounts within 10 days prior to the first day of the semester, if they have been received by the University and provided you have met all financial aid disbursement requirements. Once your aid posts to your account, any balance due will be deducted. If your aid was greater than your balance due, the residual funds will be delivered to you by check or electronically to your bank account. To select your delivery method, go to UAccess Student. My financial Aid has not posted to my account yet. What is the status?
- To verify awards, your award status, awards not appearing on your account, or other questions concerning the financial aid process, log into UAccess Student. In the Finance section, Select View Financial Aid. Select an Aid Year. Select Financial Aid Status. Contact the Office of Student Financial Aid if you need further assistance.
My aid might not arrive by the payment deadline. Do I have to pay with my own funds?
- No, not if you have enough financial aid coming in to cover all of your tuition. If your financial aid is not reflected on your account, go to UAccess Student > Your Notices and Holds to verify that your tuition has been deferred pending the arrival of your financial aid.
  If you are expecting financial aid and you don't have a tuition deferment or if you have other questions, contact the Office of Student Financial Aid.
  If your aid will not cover all your charges, the portion you are to pay must be received and applied to your account no later than the semester due date.

- If you are in the Shopping Cart and do not see the term for which you desire it could be that you have not yet be activated for that term. There are many reasons why this may be the case. How do I view courses a student dropped?
- All classes (Enrolled, Dropped, Waitlisted) appear on the students schedule as default. In order to view only dropped, only waitlisted, or only enrolled, you can use the filters at the top of My Class Schedule to determine which types of classes appear in the view.

- When the student attempts to enroll they will get a message saying they are not eligilble to enroll because of this (specific name) hold.

My enrollment appointment is for today but when I try to enroll I am recieving an error saying I do not have a valid enrollment appointment at this time. What is going on?
- Make sure you click the "Details" link in the Enrollment Dates box. Enrollment Appointments also have a time parameter. So although today may be your start date make sure it is also the right time of day.

Departments should contact the Registrar's Office if they are interested in learning more about enforced pre-prequisite configuration.

- Only students who were admitted into Honors will have an Honor's section on thier Advisement Report.
From Student Self Service, the student is getting an error "If an advisement report does not appear, contact your advisor."
- All Advisment Reports must be run on the Administrative side before the students are able to see them. In most cases this will be done in batch but this student looks like they were missed in the batch run. Run thier Advisement Report in Academic Advisement>Request an Advisment Report. The student should then be able to see thier report as well.

Why isn’t my Graduate Assistant/Associate (GA) Remission showing on my account?
- Graduate Assistant/Associate benefits are applied after you are officially hired and have the appropriate charges on your student account. Please check with your hiring department regarding the status of your hiring paperwork (Notice of Appointment). Contact the Graduate College at 621-3471 if your paperwork has been processed but your GA Remission benefit is not reflected on your student account or you believe the amount is incorrect. Page three of your Notice of Appointment (GA hiring contract) shows the value of your GA Remission.
I have not received my fellowship/scholarship stipend.
- Students must be registered in 3 or more units to receive fellowship/scholarship funds. Some funds require additional enrollment therefore students should check with the source of their award. Please check your student account through UAccess Student to see if the funds have calculated but not disbursed. Questions regarding UA Graduate College Fellowships should be directed to 621-3471.
My Graduate Tuition Scholarship has not covered my tuition.
- Students must be registered in 3 or more units to receive the Graduate Tuition Scholarship. Some academic units require additional enrollment therefore students should check with their academic unit. You may also have more than one type of aid trying to cover the same charges. Please contact you Graduate Coordinator to review your full aid package.

How do I know how much to pay?
- Page three of your Notice of Appointment (GA hiring contract) shows the value of your GA Remission that is applied toward your tuition. Please deduct this amount from the in-state tuition you have been assessed. Please note that nonresident GAs will have their tuition recalculated at the in-state tuition rate after their hiring paperwork has been processed. All GAs receive the GA Remission toward the remaining base tuition. College and/or department-specific charges, course fees, and other mandatory miscellaneous (AFAT, Rec Center, etc) charges are not covered as part of this benefit.
Why is my health insurance still on my bill when my department pays for it?
- If you are a Teaching Assistant or a Research Assistant, and your department covers your health insurance, the correct paperwork must be on file with the Graduate College before the charge can be reversed. Please check with your issuing department.

I cannot schedule classes through Schedule New Course or the Maintain Schedule of Classes page even though I was able to schedule yesterday. What happened?
